Help / A useful way forward

Using Business Records & Evidence Organizer

How to start, keep, reopen, and use your Business Records & Evidence Organizer work.

Know which records you have, where they are, and what is missing for a purpose.

Open Business Records & Evidence Organizer

Start with the work in front of you

  1. Add a record, its relevant versions, locations, and authorized access details.
  2. Review whether the correct version is available and usable. Track requests for missing evidence.
  3. Build a collection for a particular purpose and review its gaps. Download editable register (.json).

Keep it and pick it up again

The JSON restores the index, version descriptions, locations, requests, and collections. It does not contain the underlying document files.

  1. Check your browser’s Downloads for the actual file. Keep the .json extension; a meaningful name and date can help you recognize the copy.
  2. Choose Open saved work below, select that file, and check the tool and summary shown.
  3. Continue in the tool. If there is already work open there, review the replacement prompt. Cancel to keep editing or download the current work before replacing it.

What to keep in view

A location or link is not proof that the recipient can access a record. Check access separately and share only what is needed; the organizer does not grant access to external files.

If it does not look right

If the file will not open, leave the original unchanged and read the error. A reading copy cannot substitute for the editable JSON. If you reopened an older copy, look for a later download; do not overwrite the current work while checking.

Where this can lead

These tools may help with the next task. A link alone does not transfer your information.
