Turn a loose end into a clear next action.

Make an unfinished task specific enough that someone can act on it and know what happened next.

Find the thing hidden inside the reminder

A note such as ‘quotes’ or ‘supplier’ can remind you of a problem without telling you what to do. Pick one loose end and write the next observable action.

For example: ‘check the two parts prices and send the revised quote’ gives you a starting point. ‘Fix sales’ is still a larger question that needs to be broken down.

Make four decisions

If you work alone, you are still the owner, and your available time still matters. If someone else is involved, agree the handoff rather than treating a name on a list as an accepted commitment.

  • Owner: who is taking the next step?
  • Action: what will they actually do?
  • Done: what will show that this step happened?
  • Review: when will you check the outcome or follow up?

Give waiting work a next check

‘Waiting for the supplier’ can stay vague for days. Record what you asked for, when you asked, and when you will check again. Do not mark the whole job complete simply because you sent a message.

During your weekly review, choose what fits alongside existing commitments. Keep work you cannot fit visible as deferred, delegated by agreement, or awaiting a specific response.

Rewrite one item from your list

  1. Choose a reminder that has appeared more than once.
  2. Write one action that moves it forward.
  3. Name the owner and what would count as that step being done.
  4. Put the action or follow-up into your weekly review.
